Hej!
Nu närmar vi oss sommar och semestertider! Vi i BRM-gruppen vill passa på att önska er en riktigt skön sommar och avkopplande ledighet.
I brevet följer några tips på förberedelser inför semestern och bemanning för IT-support. Ni kan också läsa om pågående IT-projekt och hittar även en glädjande nyhet inför hösten - håll till godo!
Nyhetsbrevet skickas som vanligt till er administrativa chefer men ni får gärna sprida det vidare till era institutioner.

Tips inför sommarsemestern
|
|
Nu när vi närmar oss semestertider är det viktigt att vi förbereder så mycket för att underlätta för medarbetare på plats och för oss själva när vi är tillbaka. Nedan följer några enkla tips:
| • | Bemanning IT-support. Under sommaren har vi ordinarie öppettider i Helpdesk samt receptionen på Nobels väg 5. Biomedicum-disken är stängd vecka 29 och 30.
IT-support kontakt
| | • | Skriv ett tydligt autosvar om din tillgänglighet och när du är tillbaka. Hänvisa om möjligt till kollegor som är på plats och kan hjälpa till vid behov. | | • | Aktivera/inaktivera autosvar i Office 365 och funktionskonton
| | • | Hänvisa din telefon. Lägg in att du är på semester och under vilken tid. Detta gör du via CMG-webb. Läs mer och logga in från våra telefonisidor.
| | • | Byt lösenord som riskerar att löpa ut - Har du lösenord till dina system som riskerar att löpa ut under semestern kan det vara en god idé att byta dem innan.

| | • | Spam/phishing - Falska e-postmeddelanden skickas då och då till våra KI-konton. På sidan om ditt e-postkonto finns information om hur du kan anmäla spam/phishing och andra tips för hur du skyddar dina användaruppgifter.

Påminnelse UBW och IDAC – Viktig information har gått ut till ekonomer och IDAC
administratörer från respektive förvaltningsorganisation, stäm gärna av med era medarbetare att de har tagit del av informationen för att undvika onödiga avbrott.

Återställning av appen Microsoft Authenticator för MFA/tvåstegsverifering
|
|
It-support får ibland in ärenden om återställning av appen Microsoft Authenticator som används för tvåstegsverifiering. Återställning görs om du tappat din telefon där appen varit installerad eller när du byter telefon.
För att återställa appen ska du kontakta IDAC-administratören vid din institution för att få en kod skickad till dig för återställning.
Du ska inte kontakta IT-support för detta.

Ny portal för beställning av IT-tjänster

Vi har den glädjande nyheten att berätta att i höst kommer vi ha en ny portal för tjänstebegäran! I portalen finns våra IT-tjänster samlade vilket kommer förenkla processen vid beställning.

Pågående projekt på IT-avdelningen 2022
|
|
Projektet Samordnad IT fortsätter under hösten. BioNut var senaste institutionen att ansluta och processen pågår nu med överenskomna delar av MedS, samt med KI-DS. Totalt 15 institutioner är nu med i Sam-IT.

Projekt datalagring och dataflyttar från G: till P:
|
|
Dataflytt från G: till P:
Drygt hälften av alla institutionerna är nu klara och har fått sitt innehåll flyttat från server G till P. De institutioner som ännu inte är flyttade kommer att bli kontaktade efter sommaren och få information om hur flytten kommer att gå till. Flytten hanteras av ITA och är inget medarbetare behöver göra själva.
Flytt av innehåll från OwnCloud till OneDrive
Det pågår en avveckling av lagringstjänsten OwnCloud som ersätts av OneDrive. Medarbetare som har innehåll på OwnCloud får det flyttat till OneDrive av ITA. De institutioner som är kvar och inte har fått sitt innehåll flyttat blir kontaktade efter sommaren.

Livscykelhantering av datorer
Livscykelhanteringstjänsten är KI:s hyrtjänst för datorer där du hyr en dator mot en fast månadskostnad. När hyrtiden löper ut tas din dator omhand och återanvänds av leverantören.
Tjänsten bidrar till fördelar för miljö, hållbarhet och säkerhet!
| • | Välj bland flera PC och Mac-modeller som nyttjas mot en fast månadskostnad i 36 mån. | | • | Du får en driftsäker och kostnadseffektiv dator som sedan byts ut efter 36 månader för att upprätthålla en bra och uppdaterad prestanda. | | • | Din gamla dator återanvänds av leverantören.

Hi,
We in the BRM group want to take the opportunity to wish you a really nice summer and a good relaxing holiday!
This letter includes some tips on preparing for the holiday and opening hours for IT support during the summer. You can also read about ongoing IT projects and will also find good news for the autumn!

Checklist before vacation
|
|
Below is a short checklist to prepare for the upcoming summer vacations:
| • | IT support. During the summer, we have regular opening hours in Helpdesk and the reception on Nobels väg 5. The Biomedicum desk is closed in weeks 29 and 30.
Contact IT Support
| | • | Write an autoresponder about your availability and when you will return. If possible, refer to colleagues who are on site and can help if needed. Enable/disable autoreply in Office 365
| | • | Refer your phone. Enter that you are on holiday and during what time.
You do this via CMG website
| | • | Change passwords that risk expiring - If you have passwords for your systems that risk expiring during the holidays, it may be a good idea to change them before.

| | • | Spam / phishing - False emails are sent to our KI accounts from time to time. The page: about your e-mail account contains information on how you can report spam/phishing and other tips on how to protect your user information.
| | • | Reminder UBW and IDAC - Important information has been sent out to economists and IDAC administrators from each management organization, please check with your staff that they have read the information to avoid unnecessary interruptions.

Reset the app Microsoft Authenticator for MFA/Two step verification
|
|
IT support receives several cases concerning the restoration of the app Microsoft Authenticator, which is the one used for two-step verification. Reset is done if you have lost your phone where the app has been installed or when you changing phone.
To reset the app: contact the IDAC administrator at your department to have a code sent to you for reset.
You should not contact IT support for this.

|
|

New portal for ordering IT services
|
|
We have good news: In the autumn we will have a new portal for service requests ready! In the portal, our IT services are gathered, which will simplify the process when ordering.
More information about the portal and the new routines will be communicated in the autumn.

ONGOING PROJECTS at THE IT Office 2022
|
|
The project Coordinated IT will continue during the autumn. BioNut was the latest department to join and the process continues with selected parts of MedS, and KI-DS.
Total 15 departments are now part of Sam-IT.

Project data storage and data moves from G: to P:
|
|
Project data move from G: to P:
More than half of all the departments are now ready and have had their content moved from server G to P. The departments who have not had their data moved will be contacted after the summer and receive information on how the move will take place. The move is handled by ITA and is not something employees need to do themselves.
Data move from OwnCloud to OneDrive
The storage service OwnCloud will be phased out and replaced by OneDrive. Employees who have content on OwnCloud will get it moved to OneDrive by the IT Office. The remaining departments will be contacted after the summer.

Lifecycle management for computers
The life cycle management service is KI's service for rental computers, which is a simple and sustainable way to have a computer.
You can choose between any of the PC´s or Mac´s certified for the Karyon client platform and have that computer for 36 months, after it´s automatically replaced with a new one.

|
|
|
|
The service is based on efficient hardware lifecycle management, which means that the cost over the 36 months will be lower than buying and writing off the computer during the same period.
